Current-state costs to quantify: agent time lost to manual workflows that the new platform would automate (survey agents on minutes per day spent on tasks the new platform eliminates — at fully-loaded $X/hour, $Y per day × 52 weeks × N agents = annual current cost); escalation overhead (tickets that require engineering intervention because the helpdesk lacks the diagnostic tools the new platform provides); and self-service deflection gap (if the new platform includes better knowledge base search and AI chatbot, model the deflection rate improvement and its cost reduction). Return modeling: for each evaluated benefit, create a conservative and optimistic range.
